Marketing Coordinator

Location: Delray Beach, FL

Job Description:

Currently seeking a full-time Marketing Coordinator to join the team and work out of our Delray Beach, FL office. The right person for the position is passionate about live music, knowledgeable about a wide array of established and up and coming artists and social media platforms, is tech savvy, self-motivated, a good writer, and has incredible attention to detail. 

Responsibilities:

  • Assist in the company’s overall marketing objectives – including developing and implementing marketing plans, projects & promotions
  • Manage Social Media Marketing and Advertising for multiple events on platforms such as Facebook, Twitter, Instagram, Youtube, and other online communities
    • Ability to create content and implement different strategies to develop & maintain rapport with each fan base
    • Ability to adapt to the tone/voice of each event
    • Effectively manage social media advertising spends and budgets
  • Generate written copy for social media, websites, and newsletter content
    • Edit and maintain websites using CMS
    • Create and edit email blasts
  • Work with Creative Director to design various collateral and graphics (including but not limited to website, digital, and print materials)
  • Work with event photographers to:
    • Collect photos and post event photo galleries
    • Manage real time posts from event
    • Organize and archive event photos
    • Create shot lists and ensure all aspects of events are being properly captured
  • Work with event videographers to:
    • Put together budgets, create deal points, execute contracts, and manage deliverables
    • Act as on-site video team liaison and manager
    • Organize and archive event footage

    • Oversee communication between video team, bands and management to review and edit videos from initial draft to final approved version

Qualifications:

  • 3 years experience in marketing / social media preferred
  • Ability to effectively manage and prioritize multiple projects at once
  • Strong verbal and written communication skills
  • Exceptional copywriting, proofing & organizational skills
  • Extensive knowledge of social media platforms, marketing, and advertising
  • Proficient with Adobe Suite (Illustrator, Photoshop, InDesign, Premiere Pro)
  • Proficient with Microsoft Office (Word, Excel, PowerPoint)
  • Knowledge of the music industry & vast array of artists, bands, DJ’s
  • Adept at doing research and compiling reports in execution of marketing goals

    Project Manager

    Location: Delray Beach, FL

    Job Description:

    Currently seeking a full-time Project Manager to work out of our Delray Beach, FL office. The right person for this position is a proven leader with significant event management experience and an eye for detail. Candidates should be self-starters ready to take the reins of a portfolio of international concert vacations and manage the team responsible for designing and executing memorable experiences for our guests.

    Responsibilities:

    • Serve as the event planner and main liaison between the event and the venue (resort/cruise ship) specifically dealing with internal management, vendors, service providers and convention services managers to execute multi-day music events at resorts & on cruise ships.
    • Demonstrate impeccable organization in the creation, preparation and communication of operational plans, strategic initiatives, event design, décor, branding and site plans between our internal team, event staff and our venue.
      • Coordinate advance & logistics with all department heads including Production Director, Activities Director, Artist Relations Director, Merchandise, Safety & Medical, Site Operations, and Guest Relations.
      • Submit and maintain function requests from all departments and actively review Banquet Event Orders with the venue and all event departments involved to ensure all set ups are well thought out and coordinated.
    • Conceptualize event site layouts, decòr, photo opportunities and the overall look and feel of event spaces and coordinate the execution of such plans both internally and externally via sourcing vendors and designing build schedules.
    • Solicit and negotiate vendor contracts including two way radio rentals, golf cart rentals, event collateral, local providers (decór, portolets, pipe and drape, etc). Ensure that all agreements are structured in adherence to the budget.
    • Lead the event management and their staff on-site in order to execute the event as planned.
      • Regularly review operational plans with the venue
      • Walk through event setups with department heads and the venue
      • Communicate on the fly changes to all staff
      • Ensure the look and feel of the event is well implemented and maintained throughout the life of the event in tandem with the Site Operations team
      • Oversee the proper execution of all operational plans
    • Organize and facilitate Site Visits, including schedule coordination for key team members, international transportation planning and the creation & facilitation of engaging sessions to ensure each department is well advanced and plans are communicated across our team and to the host.
    • Regularly review operational plans and event designs with all stakeholders to identify areas of improvement and strategize accordingly.
    • Structure the Event Staff in accordance with the needs of each department and coordinate rooming allocations to ensure adequate staff for each event.
    • Coordinate event shipping logistics with all vendors including container scheduling, inbound/outbound trucking, obtaining necessary manifest and permits, as well as general warehouse management throughout the process.

    Qualifications:

    • 5 years of relevant event planning experience required, Hotel Convention Services experience a plus
    • Experience managing a team is required
    • Experience soliciting vendor proposals and working within a set budget
    • Multi-lingual preferred (English & Spanish)
    • Must have exceptional communication skills (written & verbal)
    • Ability to problem solve, work and remain confident under pressure, make decisions & make things happen with flexibility
    • Exceptionally organized and detail oriented
    • Exceptional communication skills to keep all parties informed of developing situations, changes in plans, and ensuring the managing partner and event management are informed of all decisions being made throughout the event.
    • Proficient with Microsoft Office (Word, Excel, PowerPoint), Google Drive and Dropbox
    • Proficient with Autocad & Vectorworks preferred but not required
    • Proficiency with Adobe Suite (Illustrator, Photoshop, InDesign) preferred but not required
    • International travel required (specifically in the winter months)
    • Must have (or be eligible for) a Passport
